A wedding party can share a visual direction while needing different garments, fits and appointment times. Start with one group summary and a separate order record for each person. This keeps a change to one outfit from silently becoming a change to every order.
Kelly’s Tailor Shop publishes this planning guide. Our current services and FAQ describe custom suits, dresses and other garments. Ask us to confirm feasibility, quantities and dates for your actual group; a general turnaround does not reserve production capacity.
Name a coordinator and define their role
Choose one person to collect references, record decisions and relay questions. Agree who approves shared choices and who approves each individual’s fit and price. Coordination should not mean that someone else guesses a wearer’s comfort preferences.
Keep one dated version of the shared brief. When a detail changes, name the affected orders and ask the tailor to confirm any price or timing effect before treating the revision as agreed.
Separate shared style from individual specifications
Record the event date, dress code and desired overall appearance. Decide whether outfits should match closely or simply use a related palette. A coordinated group need not order identical cuts.

The studio photograph shows several suit styles for discussion. It does not establish current stock or availability for a wedding party.
Copy this record once per person:
- Order reference and wearer; garment list and quantity.
- Shared fabric reference and color, plus any agreed exceptions.
- Individual jacket, trouser, shirt or dress details; lining and accessories included in the quote.
- Shanghai arrival and departure; available fitting dates and collection deadline.
- Shoes and layers to bring; fit priorities and unresolved questions.
- Individual total, agreed changes and approval status.
Share only the information needed for the order. Send personal measurement details directly to the tailor rather than circulating them to the entire group.
Confirm fabric matching before approval
If close matching matters, ask to compare the actual samples together and confirm enough suitable material for all intended garments. Record sample references and ask how later additions or substitutions would affect the result. A color name or phone photo is an incomplete specification.

This photograph helps distinguish jacket, waistcoat and trousers as separate components. It is an outfit example, not a documented wedding order or a promise that matching fabric is available.
Plan appointments for each wearer
Use the earliest departure as a constraint, then check every person’s availability individually. Ask whether appointments will be together or staggered and how much time to allow. Confirm what happens if someone misses a fitting; do not assume another person’s measurements or an untested remote order can replace it.
Bring the intended shoes, shirts and layers. Each wearer should sit, walk and reach during fitting, then agree adjustments and the next appointment. Our individual suit fitting checklist covers these checks in more detail.
Keep quotes and approvals traceable
Request a clear itemized quote for each order and identify who will pay. Ask about payment arrangements and any proposed changes directly; do not assume group discounts, combined billing or one person’s approval covers everybody.
A useful enquiry structure is:
We are planning coordinated wedding outfits. Here are the event and travel dates, the garment list per person and our shared style reference. Please confirm fabric options, individual quotes, fitting availability and collection dates before we approve the orders.
Check collection person by person
Match every garment to its order reference and wearer. Check agreed adjustments, included pieces, final fit and care instructions. If someone else will collect, confirm the arrangement with the tailor beforehand and resolve how the wearer will approve fit.
Allow time to address questions before travel. Keep the final specifications and receipts with the appropriate wearer. For the studio visit itself, use our first-visit checklist.
